Building a scalable digital archive on Dynamics 365
We partnered with a London-based fashion archive to design and implement a Dynamics 365 platform that underpins their entire rental operation, providing a structured, reliable system for managing archived garments, bookings, and availability at scale.
Bookings
Create and manage garment rental bookings by assigning archived items to customers with full visibility of availability.

Automated Invoicing
Generate invoices automatically based on booked items, rental periods, and defined product pricing.

Copilot & AI Insights
Use Dynamics 365 Copilot to summarise key information and generate reports from archive data.

Project overview
Powering a complex archive operation
The client needed a robust system to support a growing fashion archive, where garments are constantly booked, rented, returned, and reintroduced into circulation. Manual processes were no longer sustainable, and accuracy was critical to day-to-day operations.
We designed and implemented a custom Microsoft Dynamics 365 solution tailored to their workflows. The platform unifies archive inventory, bookings, and automated invoicing with client data, giving the team clear visibility and control across the entire archive while automating processes that were previously handled manually.
Over time, the platform has become a core operational system, supporting the business at scale while streamlining workflows and automating previously manual tasks.
Words from 18.01 LONDON
To reflect on the partnership and the platform we’ve built together, we asked the client for their perspective on working with us over the past several years.
"As our archive expanded, operational precision became critical. Working together to build our Dynamics 365 platform has fundamentally changed how we operate — what was once a largely manual process is now structured, reliable and scalable. The system gives us clear visibility across the archive and confidence in our day-to-day operations, while remaining flexible enough to grow with the business. This has been a genuine partnership rather than a simple system implementation. The team took the time to understand the realities of running a working fashion archive and translated that into a platform that supports how we actually operate."

It captures our approach to long-term partnerships: working closely with our clients to build systems that become part of how their business operates, not just tools that get delivered and left behind.

A platform built to support the business
What began as a system implementation has grown into a core part of how the archive operates day to day. The platform provides a stable foundation for managing inventory, bookings, and billing, while remaining flexible enough to evolve as the archive expands.
By focusing on real operational needs and removing friction from previously manual workflows, the work demonstrates how well-designed internal systems can quietly enable scale, consistency, and confidence across an organisation.

Tech Stack
The platform is built on Microsoft Dynamics 365, using custom entities, workflows, and automation to model the archive’s real-world operations. Dynamics provides a robust foundation for managing inventory, bookings, and invoicing within a single system, while enabling reporting, automation, and ongoing extensibility as requirements evolve.
